Do not delay in making VISA arrangements for entry into the United States if needed. Such arrangements are the responsibility of attendees and other participants and may take up to a few months.

Conference Invitation Letter – Authors
If needed, please download the invitation letter via Papercept to apply for Visa to attend NER’13.
To obtain a Visa letter: please log into the paper submission site as “authors” and follow the Option link for each paper; click on Request an acceptance letter and complete the required fields. The system will then create the letter as a PDF visa letter that can be downloaded and sent with the application. You may need to have your hotel reservations and air travel completed before you apply.

In exchange for 16 hours of volunteering (you may have the shifts on different days or on the same day), graduate and undergraduate students will get access to the entire conference for free. For more information about volunteering and to sign up, please contact TBA.

Refunds – Non-Authors
General attendees (non‐authors) are eligible for a registration refund if the refund is requested in writing prior to October 8, 2013 and will incur a processing fee of $50. There are no registration refunds after October 9, 2013.
Author No Shows
EMBS enforces a “no show” policy. Any accepted paper included in the final program is expected to have at least one author attend and present the paper at the conference. Authors of the accepted papers included in the final program who do not attend the Conference will be subscribed to a “No Show List”, compiled by the Society. The “no-show” papers will be removed from the website and noted as “Author unavailable for presentation.” The “No Show List” will also be made available to all EMBS conference organizers, who can reject submissions from these authors in the following two years, based on their past negative impact on an EMBS conference. If your paper was selected for Student Paper Competition (SPC) and if you are only presenting during that SPC session, your paper will be pulled from the program and Xplore as no substitutes are permitted.

All attendees – author or non-author
Cancellations must be made in writing by downloading the no-show form on the website and sending it by email to firstname.lastname@example.org (no phone calls will be accepted). Please allow four to six weeks after the conference for the refund to be provided. Registration fees cannot be transferred to another attendee.
Attendance at, or participation in, this conference constitutes consent to the use and distribution by IEEE of the attendee’s image or voice for informational, publicity, promotional and/or reporting purposes in print or electronic communications media. No flash photography will be used.
Video recording by participants and other attendees during any portion of the conference is not allowed without special prior written permission of IEEE.
Photographs of copyrighted PowerPoint or other slides are for personal use only and are not to be reproduced or distributed. Do not photograph any such images that are labeled as confidential and/or proprietary.
